A clear picture of waste starts with understanding the activities that generate it. List the main work areas and processes, then describe the materials arising from each activity using the information available to the team. Involving site staff helps connect the record to everyday practice.

Create a simple log covering the material description, source, date, quantity, unit and measurement method. Where a quantity is estimated, label it accordingly and explain the basis of the estimate. Use consistent units or document conversions so the figures remain understandable during later reviews.

Add collection locations, container identifiers and the internal person responsible for follow-up. Gather available transport, handover and receipt documents, linking each to the relevant period or activity. Dated photographs with short captions can also help colleagues understand how the site is organised.

Review the information with operations, purchasing and support teams to identify gaps or inconsistent descriptions and quantities.
