Making environmental records clear and easy to use

Ways to organise observations, measurements and files so their meaning stays clear over time and across the team.

Environmental records become more useful when another person can understand them without a lengthy explanation. Group files into topics that suit the operation, such as field observations, measurements, resource use and action tracking. Keep the folder structure simple and consistent, and explain it to the team.

For each entry, record when and where the observation or measurement took place, who entered it and where the information came from. Include units and relevant context alongside numerical values. Label estimates and information awaiting review so the nature of the data remains clear.

Use consistent templates for recurring activities and agree on file names and version handling. Keep supporting photographs and reports with the relevant record, or provide a clear link. Connecting an entry to its supporting material makes information easier to trace and updates easier to understand.

Review the records at intervals that suit the work, checking for incomplete fields and files that are difficult to locate. Discuss recurring observations with the relevant colleagues and record follow-up actions and their status. Over time, this approach supports a more consistent picture of site activities.
